This Privacy Policy explains how Elena Rios, doing business as Vacations by Elena ("Vacations by Elena," "I," "me," or "my"), collects, uses, shares, and protects personal information when you visit this website, submit a travel inquiry, or communicate with me.

Vacations by Elena is affiliated with OASIS Travel Network, a member of Signature Travel Network.

Service area. Services are currently available only to eligible U.S. residents, excluding residents of California, Washington, and Hawaii unless Vacations by Elena later confirms that it can serve them.

Information I collect

I may collect the following information:

Contact information, such as your name, email address, telephone number, mailing address, and preferred way to communicate.
Travel inquiry information, such as destinations, dates, budget, departure city, travel preferences, loyalty program information, and details about the people traveling with you.
Travel-planning information, such as passport details, dates of birth, accessibility needs, dietary needs, emergency contact information, and other information needed to research, reserve, or support travel. I will request this information only when it is relevant to your trip.
Communications, including emails, form submissions, documents, feedback, and records of our correspondence.
Website and device information, such as IP address, browser type, device type, referring pages, pages visited, and other technical information that may be processed by the website host or service providers.

If you provide information about another traveler, you confirm that you have permission to provide it and to authorize its use for travel planning.

How I use information

research, recommend, arrange, manage, and support travel services;
communicate about your inquiry, trip, documents, deadlines, changes, or service updates;
maintain business, tax, compliance, and transaction records;

improve this website and my services; and
comply with legal obligations and enforce applicable agreements.

How information may be shared

I may share personal information only as reasonably needed with:

OASIS Travel Network and its travel-industry systems or support providers;
travel suppliers, including cruise lines, tour operators, hotels, airlines, transportation providers, insurers, and destination service providers;
business service providers, including providers that support forms, electronic signatures, email, file storage, website hosting, customer service, accounting, and information security;
professional advisers or authorities when reasonably necessary to comply with law, protect rights or safety, prevent fraud, or respond to lawful requests; and
a successor or acquiring party if the business is reorganized, transferred, or sold.

I do not sell or rent personal information. Travel suppliers and third-party services may process information under their own privacy policies and terms.

Payment information

Payment card information should be submitted only through an approved secure payment or authorization process when requested. Do not send payment card details through ordinary email or a general website inquiry form. Payment information may be processed by a travel supplier, host agency, payment processor, or other authorized provider.

Cookies, links, and third-party services

This website and its hosting or embedded service providers may use cookies, logs, or similar technologies needed to operate, secure, and understand use of the website. The website may link to third-party websites or services. Vacations by Elena does not control their privacy, security, content, or practices. Review their policies before providing information.

Data retention and security

I retain personal information for as long as reasonably needed for the purposes described in this policy, to support travel, maintain business and compliance records, resolve disputes, and meet legal obligations. Retention periods vary based on the information and why it was collected.

I use reasonable administrative, technical, and organizational safeguards appropriate to the information maintained. No website, email system, or electronic transmission can be guaranteed to be completely secure.

Children’s information

This website is intended for adults and is not directed to children under 13. An adult traveler or legal guardian may provide information about a child when it is needed for family travel planning. I do not knowingly collect personal information directly from a child under 13 through this website.

Your choices and privacy requests

You may ask to access, correct, or delete personal information that I maintain about you, subject to legal, contractual, security, and recordkeeping requirements. You may also ask questions about how your information is handled.

Send privacy requests to elenarios@vacationsbyelena.com with the subject “Privacy Request: [Traveler’s Name].” I may need to verify your identity before completing a request.

Policy updates

I may update this Privacy Policy as business practices, services, or legal requirements change. The effective date at the top of the page will show when the policy was last updated. Material changes will apply prospectively unless law requires otherwise.
